IBM's global HR operation now serves 280,000 employees across dozens of countries with 99% faster document execution, 94% inquiry containment, and 40% lower operating costs after consolidating its content layer on OpenText Content Management for SAP® SuccessFactors, with AI orchestration through OpenText Content Aviator and IBM's watsonx-powered AskHR chatbot.
"We need to ensure that when an employee requests a document, it is secure, reliable, and the correct data is returned," said Elaina Chan, Senior Delivery Lead, Automation and AI, IBM. "That trust is absolutely essential in HR." Chan generated a verification letter in two minutes during a recent system demo—"That used to take weeks. It's a fundamental shift in productivity."
Before the deployment, retrieving an HR document at IBM's scale could take days or weeks, putting sustained pressure on HR service centers and frustrating employees across regions. Privacy, governance, and compliance requirements added another layer: the system had to enforce strict role-based access across dozens of jurisdictions while still delivering a consumer-grade experience.
IBM needed an AI-ready content foundation that could connect people, systems, and documents into a single, seamless experience—without compromising data privacy across the global workforce.
IBM implemented three OpenText products alongside SAP and its own AI stack. OpenText Content Management for SAP SuccessFactors centralizes HR documents and embeds content workflows directly into SAP processes. OpenText Content Aviator serves as the expert agent that interrogates document storage on demand, returning contextually relevant files within minutes. OpenText Data Discovery powers metadata enrichment across the document estate. On top, IBM's AskHR assistant—built on watsonx—provides the employee-facing experience layer; AskHR routes requests, classifies intent, and orchestrates responses by calling Content Aviator.
In production, the system generates more than 200,000 HR letters on demand in 31 languages, manages millions of documents across employee workspaces, and supports 11 million annual interactions. 98% manager adoption and 97% executive adoption reflect the intuitive user experience.
IBM is next integrating AskHR, OpenText Aviator, and SAP® Joule into a tri-agent ecosystem where employees will complete complex HR tasks—such as real-time payslip analysis—through a single conversational interface. "We're building a three-way partnership across AI agents to solve more business problems together," Chan said. Future innovations will include AI-powered document comparison and more sophisticated self-service workflows.
