Imperial Dade, a North American distributor of foodservice packaging, janitorial equipment, and industrial supplies founded in 1935, cut invoice processing time from 7-10 days to a single day and reduced missed early-payment discounts by 60% - an estimated savings in the millions of dollars per year - after deploying Rossum's AI-based invoice automation across its accounts payable operations, according to a case study published by Rossum.
"Before Rossum, we had three different groups, and each group was touching the same invoice, doing the same work every single time. It was taking seven to ten days to process an invoice, and on a busy Monday, we could be slammed with hundreds of invoices from the weekend alone," the company said. Manual handling also introduced processing errors and let dirty data flow into its core ERP and business-spend-management platform, while the company could not reliably capture early-payment discounts or prevent duplicate payments.
Imperial Dade, which has grown rapidly through acquisitions to support more than 120,000 customers across 100-plus locations with a portfolio of over 100,000 SKUs, needed automation that could scale with that acquisition-driven growth. The rollout was split into two streams: for newly acquired subsidiaries still running on their original ERP systems, Rossum was deployed first to handle invoice processing immediately, regardless of the underlying technology stack, so integration benefits arrived right away. Rossum's platform performs document ingestion and pre-processing - removing spam and duplicates, splitting and classifying documents, and routing invoices and credit notes through separate logic - alongside collaboration tools such as email autoreply for invoice rejections and configurable approval workflows.
With 31 subsidiaries live within four months and the headquarters going live within six months, Imperial Dade's AP team now processes invoices in a single day, achieves better than 96% average data-extraction accuracy, and needs just 19 seconds of review time for invoices flagged for validation. "Now, if we have a late invoice that needs to be paid, we can push it through today and have it ready for payment that afternoon," the company said. The AP team is now working to increase the share of touchless invoices through GL coding powered by Rossum AI agents and to extend automation to remittances and order acknowledgements.
