Kingfisher GBS Cuts SAP Invoice Indexing from 5 Minutes to 25 Seconds with Rossum

Kingfisher's Global Business Services organization in Poland cut the time to index an invoice into SAP from about 5 minutes to 25 seconds on average after automating data capture with Rossum, freeing 14 full-time employees for other invoice-processing work. Rossum now reads 79% of invoice fields automatically, and 60% of invoices reach SAP without any manual touch, according to a Rossum customer story published in March 2026. "Rossum learned quickly and now reads 79% of fields automatically, and we have complete trust in the data it extracts," said Tomasz Pajak, project manager at Kingfisher GBS. Kingfisher, the home improvement group behind B&Q, Castorama, Brico Dépôt and Screwfix with more than 1,900 stores in seven countries, runs accounts payable for six European countries from its GBS hub. The team of about 200 AP staff handles 40,000 PO-backed and non-PO invoices a month from more than 60,000 suppliers. Each invoice took around 5 minutes of manual typing into SAP ECC, layouts and languages varied, and rising volumes would have required more headcount, so in 2020 GBS management and business leaders from the operating countries decided to automate invoice indexing. Kingfisher went live in January 2021 after a four-month implementation. The setup uses 12 processing queues, one for PO and one for non-PO invoices in each of the six countries. Invoices arrive from centralized email inboxes, Rossum routes each to the right queue by country and invoice type, extracts the data, validates required fields and checks for duplicates according to each country's rules, and then exports structured data to RPA bots that index the invoices in SAP. AP staff handle exceptions directly in SAP. About 190 people use Rossum daily, and invoices that need review take 21 seconds on average to annotate. After four years in production, Kingfisher is extending Rossum to other parts of the business, including a Coupa implementation, and is adopting Rossum's newer Aurora AI engine to raise the touchless rate further.
